1. Who we are

2. What personal data we collect

• Enquiry and quote forms: your name, email address, phone number, property type, the service you are interested in and any details you give us about the job.
• Emergency callback form: your name, phone number, email address, the property address and a description of the issue.
• Free checklist / lead magnet: your name, email address, property type and your marketing consent choice.
• Property manager / contractor list requests: your name, company, role, work email, phone number and portfolio size.
• Correspondence: anything you send us by email, phone or post, including call notes made by our coordinators.
• Technical data: IP address, browser type, device, pages visited and referral source, collected via cookies and analytics (see our Cookie Policy).

4. Who we share it with

We never sell your personal data. We share it only with providers who help us run the business and who process it on our instructions:

• Email delivery (SendGrid) to send confirmations, the checklist and newsletters.
• Website hosting and database providers used to run decorfm.co.uk and store enquiries.
• Google (Analytics and Ads) for anonymised usage statistics and conversion measurement, subject to your cookie choices.
• Our engineers, sub-contractors and accreditation/compliance bodies where necessary to carry out or certify the work you have asked for.
• Professional advisers, insurers and regulators where required by law.

5. International transfers

Some of our providers (for example Google and SendGrid) may process data outside the UK. Where this happens we rely on the UK International Data Transfer Agreement, UK adequacy regulations or the provider’s equivalent safeguards.

6. How long we keep your data

• Enquiries that do not become a job: up to 24 months from your last contact, then deleted.
• Customer and job records: 6 years after the work completes, to meet accounting, warranty and insurance requirements.
• Marketing lists: until you unsubscribe or 24 months after your last interaction with our emails.
• Analytics data: as set out in our Cookie Policy (Google Analytics retention is set to 14 months).

7. Your rights

Under UK data protection law you have the right to:

• Access the personal data we hold about you.
• Have inaccurate data corrected or incomplete data completed.
• Ask us to delete your data where we no longer need it.
• Restrict or object to our processing, including objecting to direct marketing at any time.
• Receive your data in a portable format.
• Withdraw consent at any time where consent is our lawful basis — every marketing email we send includes an unsubscribe link.

If you are unhappy with how we have handled your data, please contact us first at service@decorfm.co.uk so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk, 0303 123 1113).

We may update this policy from time to time. The date at the top shows when it was last revised. Significant changes will be highlighted on this page.
